This Privacy Policy explains how G Wilson Electrical trading as Before You Renovate collects, uses, stores and discloses personal information. In this policy, “Before You Renovate”, “we”, “us” and “our” refer to:

We handle personal information in accordance with this policy and, where applicable, the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

01. When this policy applies

This policy applies when you:

  • visit our website
  • contact us or submit an enquiry
  • book a consultation
  • purchase or use one of our services
  • participate in an onsite or virtual consultation
  • provide information, photographs, videos, recordings or documents relating to a property
  • communicate with us by email, telephone, video call or another agreed method
  • interact with our advertising or social media content

You can browse general areas of our website without identifying yourself. We will usually need your name, contact details and relevant property information to respond to an enquiry, manage a booking or provide a service.

02. The information we collect

The personal information we collect depends on how you interact with us and may include:

  • your name
  • email address
  • telephone number
  • property address
  • booking and appointment details
  • information about whether you own, are purchasing or are preparing to sell a property
  • your renovation goals, priorities, timeframe and intended budget range
  • property listings, floorplans, plans, quotations and reports
  • property photographs and videos
  • before-and-after images
  • information shared during a consultation
  • audio and video recordings of consultations
  • consultation notes and transcripts
  • recommendations and reports prepared as part of our services
  • payment, invoice and transaction information
  • correspondence, feedback and complaint information
  • marketing and promotional consent preferences
  • technical website information, including your IP address, browser, device, approximate location, website activity and referral source
  • any other information you choose to provide

We do not need sensitive information for the usual delivery of our services. Please do not provide sensitive personal information unless it is reasonably necessary and we have asked you to provide it.

03. How we collect information

We may collect personal information:

  • through Calendly when you make a booking
  • through Square when you make a payment
  • during onsite or virtual consultations
  • through consultation recordings
  • through email, telephone or other communications
  • through documents, photographs or videos you provide
  • through Google Analytics, Meta Pixel, cookies and similar website technologies
  • from another property owner or an authorised representative
  • from a real estate agent or other professional involved with the property, where authorised
  • from publicly available property listings and information
  • from another person or source you have authorised us to use

If you provide personal information about another person, you should have their permission to do so.

04. Why we collect and use information

We may collect, hold and use personal information to:

  • respond to enquiries
  • recommend a suitable service
  • arrange and manage bookings
  • process payments and issue invoices
  • prepare for consultations
  • provide Property Strategy Sessions and Renovation Strategy Reports
  • understand your goals and the property being considered
  • accurately record matters discussed during a consultation
  • prepare notes, recommendations, reports and next steps
  • communicate with you about the service
  • maintain client, accounting, taxation and business records
  • manage feedback, questions, complaints or disputes
  • improve our services and client experience
  • maintain and improve our website
  • understand website traffic and visitor behaviour
  • measure advertising and enquiry performance
  • protect our website, systems and business operations
  • comply with legal, taxation, insurance and regulatory requirements
  • send marketing communications where you have agreed to receive them
  • use approved property images or project material for promotional purposes where separate permission has been provided

We do not sell personal information.

05. Consultation recordings

Before You Renovate records consultations to assist with:

  • accurate note-taking
  • remembering property details and matters discussed
  • preparing follow-up recommendations
  • preparing a Renovation Strategy Report
  • maintaining an accurate internal record of the service
  • reviewing the advice provided

Recordings may include audio, video or both.

A recording acknowledgement and consent will be included in the booking process. Participants will also be advised that the consultation is being recorded.

The person making the booking should ensure that any other owner, family member, agent, adviser or professional attending the consultation is aware that it will be recorded.

Consultation recordings, notes and transcripts may be stored in Google Workspace, including Google Drive and Google Docs.

Recordings are used for internal service delivery and record-keeping. They will not be published or used in advertising or promotional material without separate express permission.

06. Property photographs and videos

We may photograph or record areas of a property while providing a service. These images may be used internally to:

  • assess the property
  • remember relevant property details
  • prepare recommendations
  • prepare follow-up notes
  • prepare a Renovation Strategy Report
  • maintain an accurate record of the consultation

Taking photographs for internal service delivery is separate from permission to use those photographs publicly.

07. Permission to use property images

We will only use property photographs, videos, before-and-after images, floorplans or project information for public or promotional purposes where you have provided separate permission.

This permission may cover use in:

  • the Before You Renovate website
  • social media
  • projects
  • presentations
  • advertising
  • printed materials
  • before-and-after examples
  • other business marketing

Promotional permission is optional and will be requested through a separate, unticked consent box. Declining promotional permission will not affect your ability to book or receive a service.

Unless separately agreed in writing:

  • your name will not be published
  • the property’s street address will not be published
  • identifying information will be removed where reasonably practical
  • photographs showing personal documents, family photographs, vehicle registration details, security information or other private material will not be used
  • consultation recordings will not be used publicly

The person granting permission confirms that they own the property or are otherwise authorised to provide permission for the proposed use.

You may withdraw permission for future promotional use by emailing info@beforeurenovate.com.au.

We will take reasonable steps to stop future use after receiving your request. Material that has already been printed, distributed, shared by third parties or included in completed publications may not always be capable of being withdrawn or recalled.

08. Marketing communications

We may send occasional updates, property observations, service information or promotional communications where you have agreed to receive them.

You can unsubscribe at any time by:

We may still send non-promotional communications relating to an enquiry, booking, payment or service you have requested.

09. Website analytics, cookies and advertising tools

Our website may use cookies, pixels and similar technologies to:

Meta describes the Pixel as one of its Business Tools used by website operators to share activity data, measure services and better understand advertising audiences.

10. Third-party service providers

Lovable

Lovable is used to build and host the Before You Renovate website. It may process website form submissions, technical information, website activity and other information provided through the site.

Calendly

Calendly is used to manage bookings. It may process information including:

  • email address
  • telephone number
  • appointment details
  • responses entered into the booking form
  • time zone and technical information

Calendly states that user and invitee information is stored in United States-based data centres.

Square

Square is used to process payments and may process:

  • contact details
  • payment and billing information
  • transaction information
  • online identifiers
  • device and technical information
  • fraud-prevention information

Square handles payment information under its own privacy terms and may process or disclose information outside Australia.

Xero

Xero is used for:

  • invoicing
  • accounting
  • transaction records
  • payment reconciliation
  • taxation and business record-keeping

Information stored in Xero may include your name, contact details, invoice details, service description, payment status and transaction information.

Google Workspace

Google Workspace, including Google Drive and Google Docs, is used to store and manage client and service information, including:

  • consultation recordings
  • consultation notes and transcripts
  • property photographs and videos
  • floorplans and property information
  • correspondence
  • recommendations and reports
  • consent records
  • project documents
  • other business records

Google operates geographically distributed systems and may process customer data in locations outside Australia, depending on account settings and the services used.

Google Analytics and Meta

Google Analytics and Meta Pixel are used for website analytics and advertising measurement as described in this policy.

We may also provide information to accountants, insurers, lawyers, technology providers and other professional advisers where reasonably necessary to operate the business, provide the service or protect our legal interests.

11. Disclosure of information

We may disclose personal information:

  • to professional advisers supporting the operation of the business
  • to a professional you have asked us to communicate with
  • where reasonably necessary to provide an agreed service

We do not provide your personal information or identifiable property material to unrelated parties for their own direct marketing.

12. Overseas storage and processing

Some of our service providers operate or use systems located outside Australia. Personal information may therefore be processed, stored or accessed in overseas locations, including:

  • Ireland
  • France
  • Spain
  • the United Kingdom
  • New Zealand
  • European Union countries
  • other countries in which our providers or their authorised subprocessors operate

For example, Calendly stores user and invitee information in the United States, while Square identifies the United States, Canada, Japan, Ireland, France, Spain and the United Kingdom as possible overseas processing locations. Google and Meta operate global data-processing infrastructure.

Where the Australian Privacy Principles apply, we will take reasonable steps in the circumstances to manage overseas disclosures in accordance with applicable requirements. The OAIC recommends that privacy policies explain whether overseas disclosure is likely and identify likely countries where practicable.

13. Storage and security

Personal information may be held in:

  • Google Workspace
  • Calendly
  • Square
  • Xero
  • website and form systems
  • email accounts
  • business devices
  • electronic business records
  • limited physical records where required

We take reasonable steps to protect the information we hold from:

  • misuse
  • interference
  • loss
  • unauthorised access
  • unauthorised modification
  • unauthorised disclosure

These steps may include:

  • password protection
  • multi-factor authentication
  • account and access controls
  • restricted file permissions
  • reputable cloud service providers
  • device security
  • software updates
  • appropriate document-handling procedures
  • limiting access to people who reasonably require it

No internet transmission, cloud platform or electronic storage system can be guaranteed to be completely secure. Please take care when providing confidential information electronically.

14. How long we keep information

We retain personal information only for as long as reasonably required to:

  • provide the agreed service
  • prepare and finalise recommendations or reports
  • respond to follow-up questions
  • maintain appropriate client and business records
  • meet accounting, taxation, insurance, legal or regulatory requirements

We do not generally charge for making an access request. Where permitted, we may charge a reasonable administrative cost for providing extensive information and will advise you before doing so.
